How Much Does Data Recovery Cost?

Data recovery doesn't have a fixed price. The cost depends on what's wrong with the device, how complex the recovery is, and how urgently the data is needed. That's why any honest data recovery company must examine the device before quoting.

Personal Device

Pricing usually comes down to how badly the device is damaged and whether the data is physically recoverable. Many personal recoveries qualify for "no data, no fee" — meaning you don't pay if nothing can be recovered.

Business System

Pricing is driven by complexity, time pressure, and business impact — not just the device itself. Emergency response, RAID rebuilds, and downtime risk are usually the biggest cost factors.

We know that's not what you want to hear. You've lost important data, you're stressed, and you need to know what this is going to cost before you commit to anything.

We get it. And we're going to be completely transparent with you about how data recovery pricing works — because understanding why prices vary will help you avoid the companies that give cheap quotes upfront and expensive surprises later.

Why We Can't Quote a Price Without Seeing Your Device

Data recovery isn't like replacing a phone screen or fixing a laptop keyboard. Those are standardised repairs with predictable parts and labour. Data recovery is diagnostic work — more like medicine than mechanics.

Consider two identical external hard drives, same brand, same model, same capacity. One has a simple firmware corruption that takes a few hours to fix. The other has catastrophic head failure requiring cleanroom surgery, donor parts, and days of careful work. They look the same from the outside. The cost to recover them could be vastly different.

Any company that quotes you a fixed price before examining your device is either guessing, planning to change the price later, or doesn't understand what they're looking at. We don't do any of those things.

What You're Really Paying For

Data recovery pricing isn't arbitrary. When you pay for professional recovery, you're investing in accountability and the removal of uncertainty.

Time

Complex recoveries can take days or weeks. A RAID rebuild might require dozens of hours. Physical repairs demand patience — rushing destroys data.

Expertise

Our engineers have spent years learning how drives fail. Knowing when to stop before making things worse separates recovery from permanent loss.

Equipment

ISO 3 cleanrooms cost hundreds of thousands. Specialist imaging hardware and firmware tools aren't cheap. A proper lab requires serious investment.

Parts

Physical recoveries often need donor components from identical drives. We maintain thousands of donor parts to avoid waiting for shipments.

Risk Assumption

When you hand over a failed drive, you're transferring the problem to us. If we damage it further, that's on us. If recovery takes longer than expected, we absorb that. You're paying for accountability.

What Actually Affects Data Recovery Pricing

Beyond the basics, these are the technical variables that determine the final quote.

The type of failure

  • Logical failures (corruption, deletion) - Generally less complex
  • Physical failures (clicking, water damage) - Require cleanroom & parts
  • Firmware failures - Require specialist code knowledge

The type of device

  • Hard Drives (HDD) & SSDs
  • RAID Arrays & Servers
  • USB Flash & Memory Cards
  • Mobile Phones & Virtual Machines

The urgency

  • Standard Service (7-10 days)
  • Emergency Service (12-72 hours)
  • Priority resources & 24/7 work

Extent of damage & History

  • Powered down immediately vs repeatedly restarted
  • Fire/Flood damage severity
  • Prior failed attempts (opened drives add complexity)

How Pricing Works for Different Cases

These factors combine to determine not just the price, but how we quote your recovery.

  • Standard Recoveries

Single Drives, USBs, SSDs, Memory Cards

Many of these cases are covered by our "no data, no fee" policy. If we can't recover your data, you don't pay.

    No data, no fee
  • Complex Recoveries

    RAID Arrays, Servers, Ransomware, Multi-Drive

These are quoted individually based on the scale, urgency, and technical requirements. The assessment is still free — you'll receive a clear quote before any chargeable work begins.

    Free assessment & clear quote
  • Emergency Service

    Priority Resources & 24/7 Work

Priority resources and 24/7 work carry additional costs, but for businesses facing downtime, speed often matters more than savings.

    12–72 hour turnaround

In every case, you'll know exactly what you're paying for before you commit.

How R3's Pricing Process Works

  1. 01

    Free Initial Assessment

We diagnose the problem. Costs nothing, commits you to nothing.

  2. 02

    Clear Quote

You'll know exactly what you're asked to pay before we proceed.

  3. 03

    No Data, No Fee

For most standard recoveries, you don't pay if we can't recover your data.

  4. 04

    Verify Before Payment

See a list of recovered files before you pay the invoice.

The Problem With Cheap Quotes

The data recovery industry has a transparency problem. Some companies quote low to get your device in the door, then "discover" additional problems that require additional fees.

Buyer Beware

An unusually cheap quote should raise questions: Do they have a cleanroom? Will the price change? What is their success rate on complex cases?

What's Your Data Worth?

Data recovery is an investment in something irreplaceable. The right question isn't just "how much does it cost?" but "what is the cost of not recovering?"

If you're a business...

Pricing usually comes down to downtime and risk. What does it cost per hour to have your systems offline?

  • Value of lost customer records
  • Regulatory consequences (GDPR)
  • Cost to recreate years of work

"We've seen businesses face five and six-figure losses from data they could have recovered for a fraction of that cost."

If you're an individual...

It's about irreplaceability. Family photos that exist nowhere else. A thesis representing months of work.

  • Memories of loved ones
  • Creative projects & portfolios
  • Vital legal documents

"We've seen people lose irreplaceable photographs... images that no amount of money could recreate."

Andy Butler
The R3 Promise

"Data recovery is an unregulated industry, so trust is everything. Part of earning that trust is telling you when recovery isn't worth it. If you have a device with data you could recreate in an afternoon, we'll tell you to save your money. We will never pressure you into a recovery that doesn't make sense for your situation."

Frequently Asked Questions

Can you give me a rough estimate over the phone?
We can discuss general factors and give you a sense of what's involved, but an accurate quote requires examining your device. Anything else would be guessing — and guessing leads to the kind of surprise price changes that give this industry a bad reputation.
Why do some companies quote so much less than others?
Usually because they're quoting before they understand the problem, planning to revise the price later, or they don't have the capability to handle complex cases (which they may only discover after they have your device). Sometimes the cheapest quote becomes the most expensive mistake.
What makes one lab more expensive than another?
Several factors: the class of their cleanroom environment, whether they do the work in-house or outsource it, the depth of their donor parts inventory, their experience with complex failures, and their success rate. A lab that invests in proper facilities, maintains extensive parts stock, and employs experienced engineers will cost more than one that doesn't — but they'll also recover data that cheaper labs can't.
Do you offer payment plans?
For larger recoveries, we can discuss payment arrangements. Call us to talk through your situation.
Is data recovery covered by insurance?
Many business insurance policies cover data recovery as part of cyber or business interruption coverage. We're vetted by major insurers including Hiscox and regularly work with insurance claims. We can provide the documentation needed for your claim.
What if I've already been quoted by another company?
We're happy to provide a second opinion. If another company has declared your drive unrecoverable, there's a reasonable chance we can still help — we've done it many times before. Send it to us; the assessment is free.
What if you can't recover my data?
Many recoveries are covered by our 'no data, no fee' policy — if we can't recover your data, you pay nothing. For larger or more complex cases (such as multi-drive RAID arrays, enterprise servers, or extensive ransomware recoveries), pricing works differently and is quoted based on the scale of the task. Either way, we'll explain exactly what you're paying for before any work begins, and you'll know where you stand before you commit.
Is there ever a case where you'd advise against recovery?
Yes. If the cost of recovery significantly outweighs the value of the data — either financially or practically — we'll tell you. We're not in the business of pressuring people into recoveries that don't make sense for their situation.
